There is no denying that serving on the board of a homeowners association (HOA) can be a lot of work. There is a lot of planning, decision making, and problem solving involved to keep things running smoothly. However, it can also be very rewarding to help shape the community, protect property value, and provide a positive environment for members. One of the first things Kuester recommends doing is establishing boundaries. Let homeowners know when board members are available to answer questions and respond to emails. Usually this occurs during normal business hours; board members should not feel obligated to be checking their email and responding at all hours of the night.  It can also be a good idea to have a separate email address just for HOA communications. There should also be a protocol for dealing with emergencies. Having reasonable expectations in place can help reduce some stress and make managing work a little easier.

“The board should also make use of committees,” says Kuester. “This can be beneficial in delegating responsibilities and allowing members to get more involved in different processes. There is no reason the board has to be in charge of everything. They will retain oversight, but committees can do a lot of planning and management so the board can focus on more pressing issues that cannot be delegated.”

A lot of boards are hesitant to delegate tasks, but when they work together with committee leaders to ensure everyone is on the same page and expectations are clear, committees can be invaluable, notes Kuester. It is also a great way to increase engagement and interest from homeowners because they feel more invested in what is happening.

Another way to help reduce burnout is to partner with a property management company. Similar to committees, they can help to manage day-to-day tasks and provide support with overall operations. A property manager can offer insight and guidance to help board members better manage their responsibilities and achieve some balance.

“It is important to remember that board members are volunteers and homeowners too,” says Kuester. “Many have full-time jobs and families that also require their attention. Working together with members to ensure time is used wisely, problems are resolved efficiently, and procedures are in place to streamline operations is key to everyone getting the most out of the community.”
